Hosting and server logs
The website is hosted by IONOS SE, Elgendorfer Straße 57, 56410 Montabaur, Germany, with whom we have concluded a data processing agreement. When a page is accessed, the server processes technically necessary information: IP address, date and time, requested address, amount of data transferred, browser and operating system, previously visited page. This serves the secure and stable operation of the website (Art. 6 (1) (f) GDPR). The logs are deleted after a short time.
No cookies, no analytics
We do not set cookies for visitors and do not use any tools to measure reach. Only those who log in to maintain the website receive technically necessary login cookies.
Enquiries via our forms
If you enquire about an apartment or write to us using a form, we process the information you enter: for an apartment enquiry, the title, name and position of the contact person, email address, phone number, company details (company, company address, VAT ID or commercial register number), desired move-in date and rental period, number of occupants, reason for renting and your message; for a consulting or contact enquiry, name, company, email address, phone number and your message. We need this information to process your enquiry and to prepare a tenancy agreement (Art. 6 (1) (b) GDPR). By ticking the box in the form, you confirm that you are aware of this information.
We store your details in our website administration, which is not publicly accessible. If a tenancy agreement is concluded, we transfer them to the contract documents and keep them for as long as the tenancy and statutory retention periods require. If no agreement is concluded, we delete the enquiry no later than six months after the last contact.
You will receive an email confirming your enquiry. Emails are sent by our hosting provider IONOS SE as a data processor.
Support from AI services
When handling enquiries, we use AI services, currently Claude (Anthropic) and Grok (xAI). They help us to record enquiries, check them for completeness, organise them and prepare replies and appointments. For this purpose they receive the information from your enquiry and from further correspondence. The providers process the data exclusively on our behalf under a data processing agreement (Art. 28 GDPR) and may not use it to train their AI models.
The providers are based in the USA, and processing generally takes place there. For this transfer we have agreed the European Commission’s standard contractual clauses with the providers (Art. 46 (2) (c) GDPR). The legal basis is Art. 6 (1) (b) GDPR, supplemented by our legitimate interest in fast and reliable handling (Art. 6 (1) (f) GDPR).
Decisions on your enquiry, for example whether a tenancy agreement is concluded, are always made by a person. No decision based solely on automated processing within the meaning of Art. 22 GDPR takes place.
Protection against automated requests
We protect our forms without third-party services: while you fill in the form, your browser solves a short computing task, and we limit the number of enquiries per sender. For this purpose we create a checksum from your IP address that changes daily and cannot be reversed, and delete it after 24 hours at the latest. We do not store the IP address itself (Art. 6 (1) (f) GDPR, legitimate interest in secure operation).
Your rights
You have the right of access, rectification, erasure and restriction of processing, the right to data portability and the right to object to processing based on our legitimate interest (Art. 15 to 21 GDPR). You can withdraw any consent you have given at any time with effect for the future. To do so, write to us using the contact form or to the address given in the legal notice.
You also have the right to lodge a complaint with a supervisory authority, for example the State Commissioner for Data Protection and Freedom of Information of the Free Hanseatic City of Bremen.
